Position Overview:

The Controller is key to the financial health of Chicago Tag and Label.  In this role, you will oversee the company’s Accounting operations, leading a team to ensure timely, accurate financial reporting, compliance (GAAP/regulations), process improvement, managing month/year-end close, budgets, forecasts, reconciliations, providing analysis for strategic decisions, and supporting continued growth of the company.  

Responsibilities and Duties

Financial Reporting and Analysis:

  • Prepare monthly financial statements, including Balance Sheet, Income Statement, and Cash Flow Statement.
  • Prepare internal financial reports and dashboards for leadership; identify trends, risks, and opportunities.
  • Monitor and manage organizational spending, while ensuring that accounting staff are appropriately coding expenses and revenues and are following both internal financial policies and external financial regulations
  • Ensure Sales & Operations are aligned based on sales growth/decline for inventory planning, staffing implications, and working capital needs.
  • Collaborate with auditors during the annual audit, managing the audit and ensuring timely responses to requests, and accurate financial data is supplied. 

Cost Accounting:

  • Review cost variances recorded in the general ledger from the shop floor data collection system to identify anomalies requiring investigation.
  • Analyze costing and margin reports and provide insights to support business decisions based on scope of work, including by item, product type, customer, and other relevant dimensions.

Accounting Operations:

  • Oversee the month end close including all general ledger functions, account reconciliations, and ensure the accuracy of financial records and transactions.
  • Responsible for the overall management of the General Ledger and Balance Sheet to ensure accuracy of financial data
  • Monitor and manage organizational spending, while ensuring that accounting staff are appropriately coding expenses and revenues and are in compliance with both internal financial policies and external financial regulations
  • Prepare and file sales and use tax returns, 1099, as well as other state, local, or federal reporting in a timely manner
  • Yearend review: Coordinate and prepare documentation requested by outside accounting firm for financial statement compilation and tax return preparations.
  • Full-Cycle Accounting Support: Manage accounting team members with their daily/monthly responsibilities and provide solutions to situations and questions that arise.
  • Working knowledge of how to complete all accounting processes and reporting managed by you including but not limited to: A/R, revenue recognition, A/P, PO billing, prepaids, accruals, depreciation, sales tax reporting, payroll reporting.
  • Learning the industry and its dynamics to accounting including but not limited to: manufacturer credits, manufacturer reward programs, education, commission earnings, results reporting.
  • Back-up for the Human Resource Department – i.e., running payroll, etc. – when necessary

Cash Flow

  • When rising to a certain threshold, oversee calculated decisions with credit approvals on customers who have slow payment history, limited D&B information, or the company is at risk of losing the account. Balance obtaining business with protecting the company financially.
  • Cash Flow projection delivery weekly with insight analysis to upper management/owners plus collaboration with purchasing department on inventory dynamics
  • Completes the weekly cashflow forecast and reviews and approves the weekly AP register/check runs.

Internal Controls & Compliance:

  • Develops and implements internal controls, ensures adherence to accounting standards (like GAAP), and supports external audits.
  • Process improvement: Review and/or develop accounting policies and procedures to drive efficiency and accuracy.

Team Leadership:

  • Manage, mentor and guide accounting staff on tasks
  • Foster a cohesive and competent finance team.
  • Ensure that staff perform tasks effectively, efficiently,
  • Build good rapport across all departments and with outside manufacturers.

Strategic Planning:

  • Budget development, monitor spending, and provide variance analysis.
  • Contributing to strategic thinking by providing financial information and recommendations to upper management, helping to align accounting goals with overall organizational objectives.
  • Part of committee for evaluating and procuring appropriate and effective insurance (Health, Business, Auto, Personal liability, Workmen’s Comp. etc.) products for the company.  Actively participates in Health Insurance Plan/purchases
  • Actively participates in 401K Plan internal committee

Collaboration:

  • Works with other departments to gather financial data and support sound decision-making.

Process & System Support:

  • Maintain accounting systems and tools (NetSuite).
  • Recommend process improvements to enhance accuracy and efficiency.

Qualifications & Skills

  • Bachelor’s degree in accounting or finance; CPA preferred but not required.
  • Proficiency in accounting software – NetSuite and advanced Excel skills.
  • Proven experience in accounting and financial management in a manufacturing environment.
  • Strong knowledge of GAAP, financial regulations, and accounting principles.
  • Excellent analytical, problem-solving, leadership, and communication skills. 
  • Managerial experience.
  • Attention to detail to ensure quality work, and deadlines are adhered to.
  • Strong knowledge of GAAP, financial regulations, and accounting principles.
  • Ability to use discretion when managing sensitive and confidential information
  • Must pass criminal, credit and professional references background check.

Order Entry Representative

Position Overview:

Order Entry Representative is a key part of our production process at Chicago Tag and Label.   In this role, the associate will process production tickets and manufacturing job orders with a high level of accuracy and attention to detail.    A strong candidate for this role will be someone that has a background in the print manufacturing industry.   

Responsibilities and Duties

  • Process customer purchase orders in conjunction with internal order write-ups prepared by account personnel.
  • Verify accuracy of customer purchase orders against internal write-ups and CT&L item details.
  • Compare customer orders to approved quotations from the Estimating Department; investigate and resolve incomplete, inconsistent, or conflicting specifications.
  • Obtain or create revised quotations and make necessary order corrections.
  • Respond to inquiries from customers, Customer Service, or Sales regarding order changes, issues, or specification questions.
  • Prepare shop orders listing stock, ink, perforation, punching, and other production specifications.
  • Review die-cutting requirements, calculate costs, and determine appropriate die characteristics to ensure efficiency and cost-effectiveness.
  • Order tooling as required and communicate specifications to approved vendors.
  • Prepare simple sketches or samples when necessary.
  • Estimate shipping dates and coordinate with Customer Service to track promised delivery dates.
  • Notify supervisors of upcoming delivery commitments or potential conflicts.
  • Work with the Pre-Press Department to create, revise, and update artwork for customer approval.
  • Assist the Estimating Department by preparing estimates as needed.
  • Verify new customer account numbers and notify Accounting of updates to maintain accurate customer records.
  • Create and maintain item records and ship-to addresses in the ERP system as required.
  • Use computers, calculators, rulers, and other standard office equipment.
  • Perform other related duties as assigned.

Qualifications & Skills

  • Ability to learn ERP system(s), – Radius a plus
  • Strong attention to detail
  • Strong Math Skills
  • Experience in Print Manufacturing or Pre-Press environment

OCUSTOMER SERVICE REPRESENTATIVE

Position Overview:

Serve as a direct point of contact and establish close working relationships with new and existing customers (distributors and house accounts).  Ensure that customers receive a superior level of service and provide continuous information about products or services.  Be able to handle and resolve issues and clearly communicate with external and internal customers through a variety of means (telephone, e-mail or fax).

Responsibilities and Duties:

  • Maintain central email boxes for both orders and quote submission from sales staff.  For each email:
  • Check for complete data on forms and PO from customer
    • Print forms, pull old job ticket and place in department bin to be worked on
  • Understand and be able to articulate the products and services of Chicago Tag & Label.
  • Address and answer all inbound telephone calls, faxes and emails from new and existing (distributor and house) customers and handle requests in a timely and efficient manner. 
  • Understand customer needs (or requirements) on each order and effectively communicate this information in verbal and/or written format to the correct department (i.e, preparation of quotes to Estimating, provide and/or confirm accurate specifications to Order Entry, coordinate product design with Pre-Press, etc.).
  • Respond to customer inquiries relating to order status, order change request and order issues.  Determine the nature of the inquiry and take appropriate action to ensure customer needs are met. 
  • Verify all documentation is completed and accurate according to procedure.
  • Point of contact for internal customers (Estimating, Order Entry, Production, etc.) to clarify information provided from external customers.
  • Proactively perform follow-up (calls, emails, etc.) to customers regarding open quotes, artwork or production questions/changes.
  • Manage Jobs Due report and facilitate communication of changes from production to customers and/or sales reps. Update internal paperwork as required.
  • Provide back up to sales representatives when they are out of the office for an extended period time (i.e., trade shows, vacations, etc.)
  • While establishing close-working relationships with assigned accounts, generate new opportunities within these accounts.
  • Review monthly sales volumes per accounts assigned and manage accounts based on sales volume goals.
  • Coordinate and distribute acknowledgements to sales and customers
  • Prepare, track and communicate reporting for finished goods inventory
  • Perform other related duties as assigned.

Qualifications & Skills

  • Minimum 3 years’ experience in Customer Service in a manufacturing environment
  • High School graduate, prefer college coursework. 
  • Strong math and communication skills
  • Proficient with MS Office Suite (Excel, Word, Outlook)
  • Experience with ERP System, preferably Print Management Software System (Radius, etc.)
  • Experience with Customer Tracking Software

Position Overview:

We are seeking a motivated and results-driven Sales Executive to join our growing team which is based in Libertyville Illinois (or Greater Chicago area). The ideal candidate will have a strong background in B2B sales within the print and label industry, with a proven ability to identify and close new business opportunities. You will be responsible for managing the entire sales process, from prospecting and lead generation to closing deals and maintaining long-term customer relationships. This role requires a dynamic individual who excels in a fast-paced environment and is passionate about providing exceptional service and value to our customers.

Key Responsibilities:

  • New Business Development: Identify and pursue new business opportunities within the custom print and label sector. Build and maintain a robust pipeline of qualified leads.
  • Customer Relationship Management: Establish and nurture strong relationships with key decision-makers at target companies. Act as the primary point of contact for customers, ensuring their needs are met with tailored solutions.
  • Sales Process Management: Manage the complete sales cycle, including prospecting, qualifying, presenting, negotiating, and closing deals. Collaborate with internal teams to ensure seamless order fulfillment.
  • Product Expertise: Develop a deep understanding of our product offerings and capabilities. Present our solutions in a way that addresses customer pain points and provides measurable value.
  • Performance Tracking: Meet and exceed sales targets and KPIs. Regularly report on sales activity, pipeline status, and market developments to the Sales Manager.
  • Travel: Participate in client meetings, industry trade shows, and other events as needed to build relationships and generate new business opportunities.

Qualifications:

  • Experience: Minimum of 3 years of B2B sales experience, preferably in the custom print and label industry or a related field.
  • Education: Bachelor’s degree in Business, Marketing, or a related field is preferred.
  • Skills: Strong communication, negotiation, and presentation skills. Proficient in CRM software (Preferably Salesforce) and Microsoft Office Suite.
  • Attributes: Highly motivated, organized, self-starter with a proven track record of meeting or exceeding sales goals. Ability to work independently and as part of a collaborative team.
  • Travel: Willingness to travel as required (locally and nationally) to meet with clients and attend industry events.
